Choosing a Small-Business Bookkeeper: Services and Costs in 2026
Choosing a Small-Business Bookkeeper: Services and Costs in 2026
For straightforward cash-basis books that you can supervise, compare an automated plan with an independent bookkeeper. Choose a dedicated bookkeeping team when you need accrual reporting, regular explanations, or backup coverage. If tax preparation or advisory work is central to the engagement, ask an accounting firm to quote those services alongside bookkeeping.
The service examples below were checked November 3, 2026. Use their prices and scope to prepare a proposal request based on your accounts, transactions, reporting deadlines, and cleanup needs.
Start with a monthly work inventory
List your bank and credit-card accounts, payment processors, payroll provider, loans, and sales channels. Note whether you hold inventory, track projects, operate more than one entity, or need reports for a lender. Include how far the existing books are behind and whether earlier balances have been reconciled.
Separate recording transactions from operating the business. Categorizing a supplier payment is different from approving and sending that payment. Recording an invoice is different from creating it, sending it, and following up when it becomes overdue. Assign each task explicitly.
The IRS recordkeeping guidance allows a system suited to your business that clearly shows income and expenses. Retain supporting documents for as long as needed to substantiate tax items, and agree who will organize and preserve them.
Compare the service model, not just the label
| Model | Potential fit | Question to resolve |
|---|---|---|
| Independent bookkeeper | A defined recurring scope with direct communication | Who covers absence and reviews unusual entries? |
| Bookkeeping team or firm | Several accounts, recurring deadlines, or backup coverage | Who performs the work and who reviews it? |
| Productized online service | Work that fits a published package | Which transactions, systems, and tasks are excluded? |
| Accounting firm with bookkeeping | Coordinated records and separately agreed tax or advisory work | Are those services included or separately contracted? |
| Software or automated bookkeeping | An owner able to supervise records and exceptions | Who investigates errors and resolves accounting questions? |
Ask about the accounting basis your business uses and how the provider will coordinate with your accountant. Selecting or changing a tax accounting method is not merely a software preference. Have an appropriate tax professional assess that decision when needed.
What two published service examples include
Pilot’s pricing page lists Essentials at $99 monthly, covering up to $100,000 in monthly expenses. It uses AI for cash-basis bookkeeping from bank and credit-card data, with a standard chart of accounts and a year-end package. Core starts at $299 monthly, billed annually, with the displayed starting tier covering $9,000 in monthly expenses. Core adds a U.S.-based bookkeeper, cash or accrual bookkeeping, and reports on the tenth business day.
Intuit’s bookkeeping guidance describes cleanup followed by monthly categorization and reconciliation. Its stated exclusions for QuickBooks Live Bookkeeping include sending invoices, paying bills, managing payroll or inventory, and filing income or sales tax returns. The page says ongoing pricing depends on average expenses and is reevaluated every three months.
Pilot Essentials is worth shortlisting for simple cash-basis records when its supported inputs fit your business. Core is the stronger choice when you need a person to explain the books or accrual reporting. For an existing QuickBooks workflow, compare Intuit’s cleanup and monthly service on the same tasks. Obtain a separate tax-preparation quote if filing is required.
Ask for a sample close package
Request an anonymized example of the reports you would receive and an explanation of the close process. Ask which accounts are reconciled, what supporting schedules are prepared, and how unresolved items are documented. Reports are more useful when you can trace an unusual amount to an explanation.
For a business with two bank accounts and one credit card, ask the monthly package to identify all three reconciliations, the period covered, outstanding differences, and documents still required from the owner. Add schedules for loans, inventory, or other balances relevant to your business.
Agree on a delivery date tied to your own submission deadlines. A promise to close promptly is incomplete if nobody says when statements, receipts, payroll records, or answers to questions must arrive. Ask how late information changes the delivery date and whether provisional reports are clearly marked.
Evaluate credentials in relation to the work
Ask about experience with your accounting software, business model, and reporting needs. Have the candidate explain a reconciliation discrepancy or demonstrate how they document an uncertain transaction without inventing its purpose. Verify claimed professional credentials with the issuing body where relevant.
Software certification can indicate familiarity with a product, but it is different from a CPA license or authorization to represent someone before the IRS. Do not assume that everyone providing bookkeeping also offers tax advice or return preparation.
The IRS guidance on choosing a tax preparer says paid preparers must have a PTIN to prepare all or substantially all of a federal tax return, and must sign and identify themselves on the return as required. The taxpayer remains accountable for reported information. If tax filing is part of your purchase, identify the preparer and the separate scope rather than relying on a bookkeeping title.
Price recurring work and cleanup separately
Ask for a quote based on account count, transaction complexity, reporting, systems, and backlog. Transaction volume matters, but two businesses with the same number of bank entries can require different work. Inventory, multiple currencies, payment-processor settlements, and incomplete records may add complexity.
At Pilot’s published prices, 12 months of Essentials cost $1,188, while Core’s starting annual commitment is $3,588. Compare the plan’s expense tier and scope before using either figure in a budget. Add any quoted cleanup, software, tax preparation, or other services outside the agreement.
Request the events that trigger a price change. Examples might include another entity, a new sales channel, extra payroll coordination, or a higher volume tier. Ask whether a review meeting and answers to routine questions are included. Compare annual commitments and cancellation terms as well as the monthly number.
Keep payment authority and record review distinct
Retain owner access to accounting and banking accounts. Use the services’ individual user permissions rather than sharing the owner’s login. Give access needed for the agreed work, and document who can create vendors, approve payments, and release funds.
For a small team, a practical arrangement may have the bookkeeper prepare a payment list while the owner verifies supporting documents and approves payment. Review changes to supplier bank details through an established contact channel. The right arrangement depends on the business, but no outside provider should silently become the only person able to inspect or control your financial records.
Ask how documents are exchanged, who can access them, and what happens if the provider leaves. Include record exports, reconciliation reports, open questions, and access removal in the handoff plan.
Begin with a defined period and review the result
Begin with one agreed month or a defined cleanup phase. State the opening balances, available records, deliverables, and matters requiring your accountant’s judgment. Review the reconciliations and supporting explanations with the provider before moving into a recurring schedule.
Review unresolved transactions, reconciliations, report explanations, and responsiveness. If something remains uncertain, require it to be documented and assigned rather than silently classified. Once the process works, schedule recurring delivery and owner review. Our project brief guide can help turn this scope into a consistent request for every candidate.
